Campervan rental cancellation terms: what applies and how much it costs

Popotnica pred rezervacijo preveri najemne pogoje
When you rent a motorhome in Slovenia, cancelling a booking is rarely free of charge. You generally do not have a 14-day right to withdraw from this type of booking. The rental company’s terms and conditions, which you accepted when booking, determine the outcome. Cancellation fees usually increase as the pick-up date approaches. This guide explains how cancellation policies work and how to calculate potential costs in advance. We also cover what happens if the rental company cancels, and how to protect yourself if illness or another unexpected event prevents you from travelling.

Key takeaways

  • Vehicle rental for a specific date or period is expressly exempt from the 14-day withdrawal right for distance contracts.
  • The rental company’s terms determine the cancellation fee. It is commonly a percentage of the rental price that increases as pick-up approaches, sometimes with an additional fixed administration fee.
  • A standalone motorhome rental does not automatically provide the same protection that package-holiday travellers may have when exceptional circumstances affect their destination.
  • If illness, injury or another unexpected event forces you to cancel, cancellation insurance may be your most effective protection.
  • Always cancel in writing and keep proof of receipt, as the date the rental company receives your notice usually determines which cancellation-fee tier applies.

Why there is no 14-day withdrawal right for motorhome rentals

Many travellers assume that any online booking can be cancelled within 14 days without giving a reason or paying a fee. That may apply to some online purchases, such as clothing or electronics, but not to motorhome rentals for specific dates. The Slovenian Consumer Protection Act (ZVPot-1) expressly excludes vehicle-rental services booked for a specific date or period from the right of withdrawal. This is also explained in the SPOT guide to online sales. The reason is straightforward: once your dates are confirmed, the rental company reserves the vehicle for you and cannot rent it to someone else for that period. If you change your mind shortly before the trip, the dates may remain unbooked. Your deposit therefore does not buy a service that you can return at any time free of charge. It secures specific dates, and cancellation is governed by the contract. This is why rental companies’ terms can differ significantly—and why you should read them before entering your card details. You are not entirely without protection. Under ZVPot-1, unfair contract terms can include those that require a consumer to pay a disproportionately high compensation, if they fail to meet their obligations. Cancellation charges should therefore remain reasonably proportionate to the loss suffered by the rental company. If a charge appears clearly excessive, consider contacting a consumer-protection organisation. Why there is no 14-day withdrawal right for motorhome rentals — overview diagram

How motorhome cancellation fees are usually structured

Published terms from Slovenian motorhome rental companies often follow a similar pattern. Cancellation fees are divided into tiers based on how many days remain before pick-up. The calculation may be based on the total rental price or the deposit paid. As fees vary between providers, the ranges below are illustrative examples only.
When cancellation is received before pick-up Indicative fee commonly seen
More than 45–60 days 5–30% of the rental price or part of the deposit
Approximately 30–45 days Around 50% of the rental price
Approximately 8–30 days 60–80% of the rental price
7 days or less 90–100% of the rental price
Failure to collect the vehicle without cancelling 100% of the rental price
Some providers also charge a fixed administration fee of €30–€100 on top of the percentage. Others retain the entire deposit regardless of when you cancel. Pay particular attention to three things in a cancellation-fee table:
  • Calculation basis. 50% of the total rental price is much more than 50% of the deposit. Check which amount the percentage applies to and whether extras such as equipment or final cleaning are included.
  • Tier boundaries. Does the pick-up day count towards the deadline? Is the relevant date when you send the cancellation or when the company receives it? A difference of just one day could put you in a more expensive tier.
  • Payment deadlines. Many providers require the balance to be paid several weeks before pick-up. If you miss the deadline, the booking may be treated as cancelled, with the associated fees.

Example calculation: how much cancellation may cost

A practical example shows how quickly the costs can add up. Suppose you rent a Mercedes V Marco Polo for one week at our weekly rate from €110 per night, plus an €80 final-cleaning fee.
  • 7 nights × €110 = €770
  • Final cleaning: €80
  • Total: €850
Now imagine these terms: a 10% fee for cancellations more than 45 days before pick-up, 50% between 44 and 30 days, 80% up to 8 days before pick-up, and 100% during the final week. Cancelling two months ahead would cost €85, one month ahead €425, and five days ahead the full €850. If the percentages applied only to the rental fee and excluded cleaning, the amounts would be slightly lower. This is an illustration, not our own cancellation policy. The rules that apply to bookings with us are published in our terms and conditions, and we recommend reading them before confirming your dates. The example makes one thing clear: when your plans become uncertain, acting a week earlier can save you money.

When the rental company cancels

The reverse situation is less common, but it can happen. A vehicle may develop a fault that cannot be repaired before pick-up, or it may have been damaged during a previous rental. In that case, the rental company is cancelling, so you should not be expected to pay a cancellation fee. For trips cancelled by a provider, the Slovenian Consumers’ Association (ZPS) highlights two principles. A travel agency that cancels a trip must, within 14 days at the latest, refund all payments received rather than simply issue a voucher. Accepting a credit note or voucher must also be voluntary. If you want your money refunded, you do not have to accept a voucher. These rules arise from package-travel law; for a standalone motorhome rental, the contract is decisive. Check what the rental company promises in this situation: a full refund, a replacement vehicle of the same or a higher class, or a choice between the two. Three contractual options if the rental company cancels If the provider offers only a voucher instead of a refund and you do not want it, respond in writing and request a refund to your bank account. If the issue remains unresolved, seek advice from a consumer-protection organisation.

Illness, force majeure and bad weather: what is covered?

This is where many misunderstandings arise. Travellers on a package holiday—that is, a trip combining transport and accommodation—may be able to cancel without paying a termination fee when unavoidable and extraordinary circumstances affect the destination. ZPS warns that protection is much more limited for standalone bookings. A motorhome rental from an independent provider is a standalone booking, so exceptional circumstances allow free cancellation only if the rental terms provide for it. In practice:
  • Illness or injury does not automatically remove cancellation fees. Protection comes from cancellation insurance, not from the rental agreement itself.
  • Force majeure (such as a natural disaster, border closure or official travel ban) may be defined in the terms, but each provider may describe it differently. Check whether the company offers a refund, a new date or retains part of the payment.
  • Bad weather or rain in the forecast is generally not a reason for free cancellation. A motorhome can be used in changeable weather, and you may be able to adapt your itinerary—for example, choosing the coast or thermal spa towns instead of Alpine passes.
If you are travelling in late autumn or winter, read our winter motorhome rental requirements so that equipment requirements and winter conditions do not catch you by surprise just before departure.

Cancellation insurance: when is it worth it?

Cancellation insurance may cover the fees charged by the rental company if you cannot travel for a covered reason. Insurers commonly list sudden illness or injury affecting you or an immediate family member, a death in the family and similar events. The exact list is always set out in the policy terms. Before buying a policy, check:
  1. When you must buy it. Most policies require you to purchase cover soon after booking or paying the deposit. A policy bought later will not cover events that have already begun.
  2. Covered reasons. Are chronic conditions, pregnancy or job loss included? If you already have a medical condition, ask the insurer what the policy would actually cover in your circumstances.
  3. Excess or deductible. The insurer may reimburse only part of the cost, leaving you to pay the remainder.
  4. Evidence required. Keep a medical certificate and an invoice showing the cancellation fees. Your claim may not be processed without supporting documents.
The policy premium is usually small compared with the loss it may prevent. If you booked a rental worth several hundred euros or more months in advance, cancellation cover may be worth considering, especially for families with young children and older travellers.

What to check before paying a deposit

Before confirming your booking, take ten minutes to find the answers to the questions below in the terms. If anything is unclear, ask the rental company and keep its response in writing.
  1. How much is the deposit, and is it refundable if you cancel?
  2. What are the cancellation-fee tiers, and which amount are they calculated from?
  3. Is there a fixed administration fee for cancellation or changing dates?
  4. When is the balance due, and what happens if you pay late?
  5. Can you change your dates for free or at a lower cost instead of cancelling?
  6. What happens if you arrive late for pick-up or return the vehicle early?
  7. How is force majeure defined, and what refund or alternative is offered?
  8. What does the provider promise if it cancels the rental?
For your first rental, our motorhome rental guide, which explains the entire process step by step, may also help. Also check age requirements and surcharges. A driver who does not meet the requirements can cause just as much trouble on pick-up day as a missed cancellation deadline.

How to cancel a booking correctly

Once you decide to cancel, do not delay. Each day could move you into a more expensive fee tier.
  1. Send your cancellation in writing, by email or using the method specified in the terms. A phone call can help, but written notice provides evidence.
  2. Include all relevant details: booking reference, renter’s name, dates and vehicle.
  3. Ask for confirmation of receipt and keep it. If you do not receive confirmation within one business day, follow up.
  4. Specify how you would like the refund, for example to your bank account or the card used for payment.
  5. If you have cancellation insurance, ask the rental company for an invoice detailing the cancellation fees and notify your insurer promptly.

Changing your dates instead of cancelling

Many people forget that cancellation is not the only option. If your holiday dates change, amending the booking is often much cheaper: you remain a customer and the vehicle stays reserved. Some providers charge a fixed amendment fee; others allow changes only within the same season or before a specified deadline. Summer dates fill up quickly. Contact the provider as soon as you know your original dates will not work. The sooner you get in touch, the more alternative dates may still be available.

Our view: cancellations are rare, surprises are avoidable

We are a family-run business based in Ljubljana, and we personally manage each booking from the first enquiry until the keys are returned. We find that most cancellation problems do not stem from the terms themselves. They arise because travellers read the conditions carefully only when they need to cancel—often too late to make the best decision. We therefore give every guest three recommendations: read the terms before paying the deposit, not afterwards; consider cancellation insurance if you book several months ahead; and contact us as soon as your plans begin to change, rather than waiting until the final week. We can review the options allowed by our terms and look for the most suitable solution. Of course, we would much rather talk about your trip than a cancellation. Once we know what you want to explore, we can help plan a route through Slovenia, the Alps or the Balkans that fits your dates, the weather and your pace. A well-planned trip is the best way to start your holiday with confidence.

Frequently asked questions

Can I cancel a motorhome rental free of charge within 14 days?

No. Vehicle rental for specific dates is exempt from the statutory 14-day withdrawal right for distance contracts. Cancellation fees are therefore governed by the rental company’s terms, which you accepted when booking.

How much does it cost to cancel a motorhome rental?

It depends on the provider and how long remains before pick-up. Cancelling a month or two ahead may incur a lower percentage, while cancellation during the final week may cost the full rental price. Check the individual rental company’s terms for exact amounts.

Will insurance reimburse me if I become ill?

If you bought cancellation insurance within the required time and illness is a covered reason, the insurer will generally reimburse eligible cancellation costs, often subject to an excess. Without such a policy, illness alone does not guarantee free cancellation.

What happens if the rental company cancels?

You should not have to pay cancellation fees when the rental company cancels. Check whether the terms provide for a full refund or a replacement vehicle. In the context of cancelled trips, ZPS emphasises that consumers do not have to accept a voucher if they want their money back.

Is changing the dates cheaper than cancelling?

Often, yes, because the vehicle remains booked and the provider does not lose the rental. Some charge a fixed amendment fee or allow changes only before a certain deadline. Contact the rental company as soon as your plans change.
